Safeguarding procedures

At PE Playground, we are committed to providing a safe, inclusive, and supportive environment for all children. Our safeguarding procedures ensure the welfare, safety, and protection of every participant while in our care. Our safeguarding policies follow local authority guidelines, NSPCC recommendations, and government safeguarding legislation.

Staff Training & Responsibilities

  • All staff members are fully trained in safeguarding, first aid, and child protection policies.
  • Staff receive annual safeguarding training, including how to respond to concerns, disclosures, and emergency situations.
  • All staff and volunteers undergo an Enhanced DBS check before working with children.
  • Designated Safeguarding Lead (DSL) is present at all times to oversee child welfare and respond to any concerns.
  • We maintain appropriate staff-to-child ratios to ensure constant supervision. This is 1:16 to every adult.
  • Children are supervised at all times, including during activities, snack breaks, and toilet visits (see Section 4).
  • No staff member is ever left alone with a child in a 1:1 setting unless in a designated safeguarding environment (e.g. administrating first aid).
  • We promote a safe, respectful, and inclusive camp environment.
  • Bullying, violence, discrimination, or inappropriate behaviour will not be tolerated.
  • If a child’s behaviour endangers themselves or others, we will.
    1. Address the issue with the child.
    2. Inform parents/guardians.
    3. If necessary, remove the child from the camp (no refund will be given in these cases).
  • Children are encouraged to use the toilet facilities during supervised breaks.
  • Staff do not enter toilet cubicles with children but will remain nearby if assistance is required.
  • If a child requires help (e.g., younger children or those with additional needs), two staff members will be present, following safeguarding guidelines.
  • qualified first aider is on-site at all times.
  • Any injuries, accidents, or medical incidents are recorded in an incident log, and parents/guardians are informed.
  • Medication (including inhalers and EpiPens) must be handed in at registration with clear written instructions.
  • In the event of an emergency, parents/guardians will be contacted immediately using the emergency contact details provided.
  • In the event of a missing child:
  • Immediate search of the premises.
  • Contact camp management and parents.
  • If the child is not found within 15 minutes, we will:
  • Call the police (999).
  • Continue search efforts until emergency services arrive.
  • Children must only be collected by authorised persons listed on the registration form.
  • If an unfamiliar adult arrives for collection, staff will request ID and contact the parent/guardian for confirmation.
  • If a child is not collected within 30 minutes of the designated time and no contact has been made:
  • The DSL will attempt to contact parents and emergency contacts.
  • If unsuccessful, we may contact local safeguarding authorities.
  • Repeated late pick-ups may result in additional charges or exclusion from future camps.
  • If staff have concerns about a child’s welfare, they will report it to the DSL, who will assess the situation and take appropriate action.
  • If a child makes a disclosure (reports harm or abuse), staff will:
  • Listen carefully and reassure the child.
  • Not ask leading questions or promise confidentiality (concerns must be reported).
  • Report the disclosure immediately to the DSL.
  • If staff have concerns about a child’s welfare, they will report it to the DSL, who will assess the situation and take appropriate action.
  • If a child makes a disclosure (reports harm or abuse), staff will:
  • Listen carefully and reassure the child.
  • Not ask leading questions or promise confidentiality (concerns must be reported).
  • Report the disclosure immediately to the DSL.
  • The DSL may contact external safeguarding services such as:
    * Local Authority Safeguarding Team
    * Social Services
    * NSPCC (0808 800 5000)
  • We do not permit children to use mobile phones or electronic devices during camp.
  • Photography/videos may be taken for promotional purposes, but no images of children will be used without parental consent.
  • If parents/guardians do not wish their child to be photographed, they must inform us in writing at registration.

By registering your child for camp, you confirm that you:

  • Have read and agree to these Safeguarding Procedures.
  • Understand that the camp operates under strict child protection policies.
